MAN Nutzfahrzeuge Data overload, outdated information, overflowing filing cabinets and drawers are all things most companies deal with on a daily basis. German automotive engineering group MAN Nutzfahrzeuge AG, however, has put a stop to all this and is now geared.

Electronic data management and mailing systems, within the framework of a permanent Internet connection, have been in use for a long time. More and more, small to medium-sized companies are jumping on the information management bandwagon, but they are discovering that existing solutions are not organising the flood of information generated.

Intranet Solution

Even classic intranet systems do not guarantee perfect communication and document management. Large multi-site companies lack superior organisation mechanisms for the multitude of applications, databases, and conventional web servers that are integral to their IT infrastructure. This is where Enterprise Content Management Systems are invaluable. Docs@MAN is the name of the intranet project initiated by MAN Nutzfahrzeuge AG. The project managers identified three significant criteria.

A key task is to ensure transparency for all corporate-wide processes and information. Corporate knowledge needs to be 'extracted' from the minds of employees and loaded onto the intranet so that knowledge management can evolve as a natural development. The system should also improve intra-company communications, particularly between teams - even those at different locations. Docs@MAN serves as the central communications hub for the company’s 35,000 employees. It is based on Hyperwave’s Enterprise Content Management platform and currently encompasses some 200,000 documents in a wide range of formats and varied content. Furthermore, there are developer forums and discussion groups on topics such as Java, XML development or WebSphere application servers. The eventual aim is for all project groups to have a presence on the intranet.

Intranet worldwide

Each department puts together a customised environment and is responsible for providing their own content. For example, in the human resources, management and training divisions, employees can retrieve up-to-date training offerings and also register immediately for appropriate courses.

The advantages of the system are clear. "It is now clearly defined where the latest document version or most current information can be found. Every employee is always up-to-date," notes Stefan Störig, project manager for information management at MAN Nutzfahrzeuge AG.

The system makes work so much easier at all locations and employees can set up project groups rapidly. The flexibility of Docs@MAN leaves room for these processes and employees have rapidly accepted the intranet as part of their daily routine.

By using Hyperwave’s Enterprise Content Management platform, we can improve enterprise-wide communication between our employees. We have been able to efficiently use the intranet, linking our European subsidiaries and 42 import businesses worldwide. Docs@MAN is currently in use in Germany. The next step to simplify and connect additional applications such as workflow and ERP systems is now being prepared. "As part of a special project initiative, we are currently testing the Hyperwave eknowledge Portal. The project group has already begun to control and supervise projects using the portal," Mr. Störig explains.

For example, employees can retrieve and also post information required for project-related work faster and easier. This capability will also be given to other project groups.

"Once this is implemented, every employee will have a portal customised to meet their particular needs. In the portal, they will find targeted information which is useful and relevant for their work," Mr. Fischer emphasised.
